New Changes to SCA Equestrian Insurance Policy and Procedure

To all Seneschals and Current and Future Event Stewards, I bring news from the Society Equestrian Officer regarding 2026 equestrian insurance policy and procedure changes! The protocol below is pending BOD approval and therefore is up for discussion.

            Please understand that this is coming from the Society level and WILL affect any and all future equestrian insurance certifications for 2026 (and possibly later). Should you have any questions please reach out to the KEO at eqmarshal@calontir.org.

Current 2026 plan:  SCA Equestrian insurance certificate costs will be shared equally by the Society Corporate office and the local group/Kingdom, for a maximum of 60 certificates (total for SCA, Inc).  This supports a viable and thriving historical equestrian community, while limiting corporate costs. For 2026, the total cost of an Equestrian Insurance certificate is expected to be approximately $1200, which will be split by the local group/Kingdom and SCA Corporate (~$600 each). Final costs will be determined in December when the insurance policy is renewed.

Costs:

  • Local group/Kingdom portion: ~$600. How this is accomplished is left to each kingdom.
  • Society Corporate portion: ~$600.  Maximum of 60 certificates. 
  • # of certificates per kingdom will be coordinated by the Society Equestrian Officer.  Currently, Calontir will likely be allotted 3 certificates since our 2025 equestrian events were 3.
  • The Calontir KEO and the Kingdom Exchequer have teamed up to form the Calontir Equestrian Insurance Fund. This fund is designed to help groups with the cost of equestrian insurance. It is a reimbursement program that goes towards the partial cost of equestrian insurance. No group or Shire should have to have to take a deficit on an event due to equestrian insurance. To sign up/request funds for equestrian insurance or if you have any questions please send an email to the KEO at eqmarshal@calontir.org.

Equestrian Insurance Certificates:

  • Insurance is by location.  Each insurance certificate covers one location (multiple dates)
  • The same insurance certificate covers both events & practices with equestrian activities
  • Multiple dates – each insurance certificate can cover any number of events or practices for the calendar year.  Ex: every Sunday from Jan 1 to Dec 31, and Baronial Champ Aug 1.
  • Dates changes – Dates are submitted with the certificate request.  However, if a date changes or needs to be added to that location that can be done (no change).

Next Steps:

  • It is recommended that local groups work on consolidating locations for Equestrian practices and events. 
  • Local groups and kingdoms can share costs.  Baronies have been teaming up in other kingdoms to help mitigate costs.
  • The Calontir KEO and the Kingdom Exchequer have teamed up to form the Calontir Equestrian Insurance Fund. This fund is designed to help groups with the cost of equestrian insurance.   • Plan early!   Even if you don’t have the site locked down yet, if you know for sure you will have an EQ event get it on the list. 
  • Follow the timelines for submission!  Get it in one time or a little early, but not super earlier – if the event doesn’t happen, we don’t want to use up a certificate.
