The job of the Lilies War Exchequer involves managing the war’s finances, including keeping detailed financial records and updating them quarterly. Key duties include ensuring financial policies are followed, handling receipts, disbursements, and contributions; ensuring all funds are separated from personal accounts; providing financial reports; collaborating with other department heads to manage expenses, and maintaining the accuracy of the war’s financial records. This role is central to ensuring the event operates fiscally responsibly and according to SCA rules.
Key responsibilities
Financial Record-keeping: Maintain meticulous records of all financial activities, including itemizing receipts, disbursements, and contributions. Electronic records are acceptable, but at least one off-site backup is required. Maintain up-to-date financial ledgers, handle all receipts and payments, and prepare comprehensive financial reports, including the annual budget. Maintain records of past wars, including financial reports and event reports
Financial Reporting: Prepare and submit financial reports quarterly, ensuring they are accurate and submitted on time. For Lilies War, this includes an Event Summary Report to be sent to the Lilies Committee and Kingdom Financial Committee within 30 days of the event.
Policy and procedures: Ensure compliance with Society financial policies and the specific Lilies Wars financial policy, which includes managing expense reimbursement procedures.
Fiscal Management: Oversee all assets, both monetary and non-monetary, of Lilies War ensuring they are kept separate from personal accounts. Manage and disburse funds according to approved policies.
Inventory management: Provide an inventory of all Lilies Wars property to the incoming Event Stewards at the end of the event, which may be delegated to a deputy.
Compliance and Transparency: Operate according to Society and Kingdom financial policies, maintaining transparency with all levels of administration and the populace. Keep all relevant officers and members informed about the status of the event’s finances and assets.
Collaboration: Work with other officers, such as the LW Chair and the Financial Committee, Event Stewards and their department heads to manage expenses and provide financial support for their areas and to ensure the event is fiscally responsible and successful.
Leadership and support: Be prepared to use bookkeeping knowledge and provide support to other event stewards or officers regarding financial matters.
Security: Ensure all financial transactions are properly documented and that funds are secured.
